Problems of Analog telephony Systems
When the business has been expanding continuously, the organization has to increase an efficiency to support its business growth; for example, recruiting more employees or expanding branches both domestically and internationally. Cannot support the scalability properly: When the organization wants to expand the office and recruit more employees, new extension numbers are required. However, there are problems with Analog PBX as follows:
Full capacity of Analog PBX: When all PBX’s slots which are used to support new extension numbers are fully occupied, or the available slots are not enough for required new extension numbers; The organization has no choice but purchasing a new Analog PBX system which will cost significantly to organization.
New telephony cables (RJ11) are required : The new telephony cables (RJ11) must be wired from Analog PBX to the new employees’ desks which will also cost significantly. Furthermore, some office physical layouts are not appropriate for new wiring.
Double Infrastructures: Normally, the organization already has some necessary expenses to maintain LAN infrastructure. Analog PBX infrastructure, however, needs to be operated separately from LAN infrastructure (unable to be shared the same infrastructure). This causes the organization has the extra and unnecessary expenses to maintain Analog PBX infrastructure as well.
Cannot support desk mobility: When employees needs to relocate due to promotion or
role changes but still desire to use the same extension number, Analog phone system
might not support this requirement. Therefore, the new extension numbers will be assigned to employees for new location. This might cause the confusion of communication.
High telephone bill for external calls and inter‐branches calls: There is no solution to reduce the
Telephone bill for external calls and inter-branches calls. The organizations always pay those bills to Public Service Telephony Network (PSTN) Providers with full charge rate which is extremely high. Even there is workaround to limit the expenses of some domestic or international calls. This solution, however, might not be suitable because this will also limit the efficiency and effective of communication.
Cannot support other systems: Beside the normal function of Telephony system, for example outgoing calls and incoming calls, Analog Telephone System cannot provide other values in business, such as integrate to 3rd party system (CRM, ERP, HR).
Insufficient features: There is no any useful feature that can facilitate the business, such as phone
directory systems, call history, call conference, smart phone integration or missed call notification.
The organizations that have been using some IP-Telephony systems might also experience some serious issues as follows:
Scalability issues: For some IP-Telephony systems, when the more extension numbers are required, the organization needs to purchase both phones and extremely expensive license which is used to activate those phones. Furthermore, some IP-Telephony systems have permanently limited number of extension numbers that the call manager server can support (for example, 100 phones per call manager server). Therefore, once the organization requires more extension numbers than the system can support, purchasing new whole IP-Telephony system is only option which is very expensive.
Complicated features licensing: For some IP-Telephony systems, if the advanced features are required, the licenses must be purchased additionally which leads to the extra cost.
Proprietary Standard: Many IP-Telephony systems are developed based on their owned proprietary standard. Their call manager servers cannot work with other brands of phones rather than its owned brand. This leads to the limitation that when the organization needs to expand more extension numbers, the organization is implicitly monopolized to purchase new phones from only one vendor.
Incompatibility with other 3rd parties: Due to proprietary standard, some IP Telephony System cannot work with 3rd party systems such as CRM, ERP, and Accounting.
